How to keep your khata book
For a shop that gives goods on credit (udhaar): write each credit sale and each payment, and always know who owes how much and since when.
Step by step
- Add your business once. Name, address, phone and UPI ID print on statements and reminders.
- Start with what is already due. Opening balance once per customer, for example on 1 April.
- Write each sale on credit. Sale on credit: date, customer, amount and what was given. Invoices and cash memos come in by themselves.
- Record money as it comes. Money received ticks the oldest unpaid bills first; leftover stays as advance.
- See the dues. Dues: 0–30, 31–60, 61–90, over 90 days.
- Remind or send a statement. WhatsApp reminder with the amount, unpaid bills and your UPI ID; open a customer for their statement.
Worked example
Sharma ji takes groceries on credit: ₹1,200 (2 Oct), ₹850 (9 Oct), ₹2,100 (20 Oct). On 25 Oct he pays ₹1,500: the 2 Oct bill is settled and ₹300 goes to the 9 Oct bill. He still owes ₹550 + ₹2,100 = ₹2,650.
