Payment reminder messages that get paid

Most late payers are not refusing to pay; they have forgotten, or the bill is lost. A short, polite message with the exact amount and an easy way to pay solves most cases.

What every reminder should have

Step 1: gentle reminder (a few days late)

Dear Mr. Verma,
This is a gentle reminder that ₹12,000 is due to Sharma Electricals as on 04 Nov 2026.
Bills: INV/26-27/088 18 Sep 2026 ₹12,000.
Please pay at your earliest convenience.

Thank you.

This is the message the khata prepares when you tap WhatsApp reminder (with the screen in another language, the message comes in that language). You can change any word in WhatsApp before you press Send.

Step 2: second reminder (two to four weeks late)

Dear Mr. Verma, our records show ₹12,000 still due against bill INV/26-27/088 of 18 Sep 2026. Could you please let us know the date you will pay? I am attaching the statement of account. Thank you, Sharma Electricals.

Step 3: final reminder (over 60 days)

Dear Mr. Verma, the bill INV/26-27/088 of ₹12,000 has been due for over 60 days. We request you to clear it by 15 Nov 2026. Until then we will not be able to supply further goods on credit. Regards, Sharma Electricals.

What never to send

If a business customer still does not pay and you are a micro or small enterprise, you can file the case on the government's MSME Samadhaan portal for delayed payments; see outstanding and ageing for the 45-day rule.
